Your CHSAA Officials Pass
A step-by-step guide for officials. You do not need to be “good with computers” to do this — take it one step at a time.
This walkthrough uses sample screens (a fictional official named Alex Morgan). Your own name, sports, and dates will be different. The buttons and layout will match what you see.
What this is
CHSAA issues you a digital Officials Pass for the season. It lives on your phone (or any device with a browser). At the gate, you open the pass and show a QR code. The ticket taker scans it.
You can use the pass in two ways:
- From the email CHSAA sends you — tap View My Pass. No account needed.
- From your account — set a password once, then sign in anytime at officials.chsaa.org without digging up the email.
The account is recommended. The email link still works all season if you prefer that.
A photo of your face is required. Until you add one, the pass will not show a QR code, and you will not be admitted at the gate.
Before you start
Have these nearby:
- The email address CHSAA has on file for you (the same one used for officials registration)
- Your phone, tablet, or computer
- A clear photo of your face (for the pass). A recent phone selfie is fine.
If you never received a pass email, check Spam / Junk, then contact the CHSAA officials office. They can resend it.
1. Open the email from CHSAA
Look for a message with a subject like:
Your CHSAA Officials Pass — 2026–27
(The season name will match the current term.)
It looks like this:

The account button on your email may say Set up my account or Activate my account. Both open the same password page.
You will see:

| Set up my account → | Lets you create a password so you can sign in later without this email. This link expires in 72 hours. |
The email also reminds you that a photo is required before the pass can be used at the gate, and that the pass admits you only — no guests. There is a Read the step-by-step guide link (this page) if you want to follow along.
You may get a second email, Activate your CHSAA Officials account, with an Activate my account → button. That is the same 72-hour password link, sent on its own so it is easy to find.
Tip: Save or star the pass email. The View My Pass link works throughout the season.
If you see Sign in to my account → instead of a setup button, you already have a password (for example, if you also have a School Center / coach login with the same email). Skip to Sign in later.
2. View your pass and add your photo
- In the email, tap View My Pass.
- Your pass card opens in the browser. Until you add a photo, it shows a placeholder and a Photo required message instead of a QR code.
- Tap Add photo (or the camera button on the picture).
- Choose a photo from your device.
- Wait until your picture appears. The QR code shows up once the photo is on the pass.
Photo rules
- Required for gate admission. Without a photo there is no QR code, and a scan will be turned away.
- Use a clear, well-lit photo of your face (like a driver’s license photo).
- Accepted formats: JPEG, PNG, WebP, or HEIC (the format most iPhones use).
- Maximum size: 5 MB. If the app says the file is too large, pick a different photo or take a new one.
You can add or change a photo from the email link (camera button) or after you sign in. On My Account you can also remove a photo — your pass will be invalid until you add one again.
When the pass is ready, it looks like this:

You should see:
- Your name and CHSAA Official
- The sports you officiate
- A QR code — Present this code at the gate
- Admits pass holder only — no guests
- Valid through a date at the end of the term
3. Use your pass at the gate
- Before you get in line, open your pass again (from the email, or by signing in).
- Confirm your photo and QR code are showing.
- Turn your screen brightness up.
- Hold the QR code toward the scanner.
A few things that surprise people:
- The QR code changes every day for security. Always open the pass fresh — do not use a screenshot from last week, and do not print an old copy.
- You only. This pass does not admit a guest, spouse, or child.
- You do not need to print anything.
If the scan fails, reload the page and try once more. If it still fails, ask the gate worker to try again, then contact the CHSAA office after the event.
4. Create your account (set a password)
Do this once so you can pull up your pass anytime.
- Go back to the pass email (or the activation email).
- Tap Set up my account → or Activate my account →.
- You will land on a page that looks like this:

- Type a new password in New password.
- Type the same password again in Confirm password.
- Tap Create password & sign in.
Password rules:
- At least 8 characters
- The two boxes must match exactly
When it works, you will see Password set successfully! and then be taken to My Account, already signed in.
If the link says it expired: The activate link only lasts 72 hours. That is normal. Go to officials.chsaa.org, sign in as an official, and use Forgot your password? instead — or ask the office to resend your pass email (that also sends a fresh activate link if you have not set a password yet).
5. Sign in later to see your pass
After your password is set:
- Open officials.chsaa.org in your browser.
- If you see two tabs, tap Officials (not Association).
- Tap Sign in as an official.
- Enter the email CHSAA has for you and the password you created.
- Tap Sign in.

You will land on My Account. From there you can open My Pass, change your password, and update your phone, address, and gender.
Bookmark that page on your phone if you like. You stay signed in for about a week; after that, sign in again.
Coaches and school staff: this page is for officials only. If you are not an official, use schools.chsaa.org instead (the small link under the sign-in box).
6. Update your phone, address, or gender
- Sign in and open My Account (the first item in the sidebar).
- In Your information, tap Edit.
- Change your phone, street address, city, state, ZIP, or gender.
- Tap Save.
Your name and email stay with the CHSAA office — they are also how you sign in and how pass emails are sent. If those are wrong, contact the office.
On the same page you can Change password (current password, then a new one twice).
7. If you forget your password
- On the sign-in page, tap Forgot your password?
- Type the same email CHSAA has on file.
- Tap Send reset link.

- Check your email (and Spam / Junk) for Reset your CHSAA Officials Center password.
- Open the link. It expires in one hour.
- Choose a new password and tap Set new password.
- Sign in with the new password.
The page always says a link was sent if that email could have an account. That is on purpose, so strangers cannot check whether your email is in the system. If nothing arrives after a few minutes, confirm you used the exact email on your officials record, then ask the office for help.
If something goes wrong
I never got the pass email. Check Spam / Junk. Confirm the office has the email you actually use. Ask them to tap Resend on your record.
The activate / reset link is expired. Ask the office to resend the pass email, or use Forgot your password? on the sign-in page.
It says “Invalid email or password.” Re-type carefully (watch for a space at the end of the email, and Caps Lock). If you are sure the password is right, reset it. Use the email on your officials record, not a different personal address.
It says there is no officials account for this email. This sign-in is only for registered officials. Coaches and school users sign in at schools.chsaa.org. If you are an official, the office may need to check that your record is linked to that email.
The pass says Photo required. Add a face photo (under 5 MB, JPEG / PNG / WebP / HEIC). The QR code appears after the photo uploads.
The pass says it was revoked or expired, or “No pass issued.” Contact the CHSAA officials office. Do not try to fix this yourself.
I cannot upload a photo. Use a smaller file (under 5 MB) in JPEG, PNG, WebP, or HEIC. On an iPhone, “Most Compatible” / JPEG often works if HEIC fails. Try a different browser (Safari or Chrome).
The QR code will not scan. Open the pass again (do not use a screenshot). Confirm your photo is showing. Turn up brightness. Make sure the date on the pass has not expired.

Contact the CHSAA officials office. They can resend your email, check the address on file, and see whether your pass is active and whether your photo and account are set up.

- Your full name
- The email address you think is on file
- What you were trying to do (open the pass, set a password, add a photo, update your address, sign in)
- The exact message on the screen, if there is one
